Monthly plans bill month-to-month: cancel before the next billing date and access continues through the end of the current paid billing period. Freelancer and Members bill annually: cancel before the next renewal and access continues through the end of the current paid annual period. Partial-month or partial-period prorated refunds are not provided, unpaid amounts remain due, and NudgeWell may suspend or terminate service for nonpayment or material breach, subject to applicable law. We'll send you a data export before your account closes.

After uploading your employee roster (CSV), our nudge engine scores every benefits opportunity for each employee — FSA balances near deadline, preventive care visits due, enrollment windows approaching. Each person receives personalized, timely emails tailored to their specific plan and situation, not a generic blast. Open rates and engagement are tracked in your HR dashboard.

NudgeWell supports most major plan types: FSA (Flexible Spending Account), HSA (Health Savings Account), HRA (Health Reimbursement Arrangement), PPO, HMO, EPO, and HDHP plans. We also support COBRA continuation coverage and marketplace/ACA plans for freelancers. You can remove employees from your roster at any time through the HR dashboard — changes take effect immediately. Their nudge history and engagement data are retained in aggregate reporting. Former employees won't receive further nudges once removed, and their personal data is handled per our Privacy Policy.

NudgeWell integrates with Stripe for billing, Google Calendar (employees can connect their account to receive nudge events directly in their calendar), and NPI Registry for provider lookup. We also support bulk CSV upload from any HRIS or payroll system. API integrations for larger plans are available — contact us to discuss your setup.

No. Micro Business ($49/mo) and SMB HR ($99/mo) are flat-rate — no per-seat math. Your whole team is covered under one monthly price, regardless of headcount up to your plan's limit. Monthly billing is month-to-month; annual Freelancer and Members billing renews before each new annual period.

Upload a CSV with employee names and emails from your HR dashboard. We support bulk CSV uploads — add your full roster at once, or add employees one by one. New additions receive their first nudge the next business day. You can also remove employees at any time.

Most teams are fully operational within one afternoon. Upload your CSV, configure nudge preferences, and send your first batch within 45 minutes. Employees start receiving personalized nudges the next morning.

For NudgeWell benefits and HR services, we do not store personal health records — only benefit plan types, names, and emails. The optional $14.99 standalone lab-results analysis is separate: it stores user-entered supported values and the purchased report encrypted at rest, only to produce and show that educational report. NudgeWell is HIPAA-conscious in its data handling. Benefits and HR services do not collect or store employee medical records. The optional standalone lab-results analysis is an explicit user-entered flow: submitted supported values and the purchased report are encrypted at rest and used only to provide an educational report, never sold or used for lab-provider referrals.
